Compliance & Responsible Use

Last updated: January 24, 2026

1. Introduction and Scope

Vertex Digital Systems LLC (“Vertex,” “we,” “us,” or “our”) operates the website vertexdigitalsystems.net and provides managed IT support, cloud infrastructure, cybersecurity, and related services. This page describes our approach to compliance, responsible business conduct, and cooperation with payment providers, regulators, and clients. We conduct our business in accordance with applicable law and with policies designed to promote lawful and ethical use of our services. We do not hold ourselves out as a regulated financial institution, and we do not provide regulated financial services; we describe below how we approach areas such as anti-money laundering awareness, know-your-customer considerations, and cooperation with payment processors such as Stripe.

2. Lawful and Responsible Business Conduct

We are committed to operating our business in compliance with applicable laws and regulations. Our approach includes:

  • Complying with the laws of the jurisdictions in which we operate, including the United States and the State of Wyoming, in relation to our corporate activities, contracts, data protection, and the provision of our services.
  • Expecting our clients and users to use our services in a lawful manner and in accordance with our Terms of Service and Acceptable Use Policy. We do not knowingly facilitate illegal activity and we take steps to address violations when we become aware of them.
  • Maintaining internal policies and procedures that support compliance and that we review and update as our business and the regulatory environment evolve.

3. Anti-Money Laundering and Know-Your-Customer Awareness

We are aware of the importance of anti-money laundering (“AML”) and know-your-customer (“KYC”) requirements in the financial services and payments ecosystem. We are not a bank, a money transmitter, or another type of regulated financial institution; we do not hold money transmission licenses and we do not provide regulated financial services. We provide professional IT and related services, and we accept payment for those services through third-party payment processors. In that context:

  • We use payment service providers (such as Stripe) that are responsible for their own AML/KYC and regulatory compliance in connection with the processing of payments. We do not represent that we perform AML or KYC checks on behalf of those providers or that we are subject to the same regulatory obligations as they are.
  • We may collect and retain information about our clients (such as name, address, email, and company details) in the course of our normal business relationship, for billing, support, and contract management. We do not collect this information for the purpose of fulfilling regulatory AML/KYC obligations that apply to financial institutions; we collect it for our own business and contractual purposes.
  • We do not knowingly accept or facilitate payments related to money laundering, terrorism financing, fraud, or other illegal activity. If we become aware of activity that we believe may be suspicious or illegal, we may report it to the relevant payment provider, decline to provide or continue services, or take other steps we consider appropriate in accordance with our policies and applicable law.

We do not make representations about our compliance with any specific AML or KYC regulation unless we have explicitly agreed to do so in a contract. If you have questions about how your payment provider handles AML/KYC, please refer to that provider’s policies (e.g. Stripe’s terms and policies).

4. Cooperation with Payment Providers

We accept payments through third-party payment processors, including Stripe. We cooperate with our payment providers in connection with:

  • Compliance with the provider’s terms of service and acceptable use policies, and with applicable law.
  • Responding to reasonable requests for information in connection with fraud prevention, dispute resolution, or regulatory inquiries, to the extent we are able and where we are legally permitted to do so.
  • Addressing chargebacks, disputes, or other payment-related issues in accordance with the provider’s procedures and our agreements.

We do not control the policies or practices of our payment providers. If our account with a payment provider is suspended or terminated, we will work with the provider to resolve the matter where possible, but we cannot guarantee a particular outcome. We may use alternative payment methods or providers where appropriate.

5. Data Protection and Privacy

We process personal data in accordance with our Privacy Policy and applicable data protection laws. We do not sell personal information. We use data for the purposes described in our policies and in our agreements with clients. For questions about data protection or to exercise your rights, please refer to our Privacy Policy and the contact details below.

6. Security and Incident Response

We implement security measures as described in our Security Statement. In the event of a security incident that affects the confidentiality or integrity of client or personal data, we will respond in accordance with our incident response procedures and will notify affected parties and regulators where required by law or by our contractual commitments.

7. Audits and Client Inquiries

We may provide reasonable assistance to clients in connection with their own compliance or audit requirements, such as responding to questionnaires or providing high-level documentation about our security and compliance practices, where we have agreed to do so in a contract or where we consider it appropriate. The scope and format of such assistance depend on the engagement and our capacity. We do not commit to undergo third-party audits or to achieve specific certifications unless we have explicitly agreed to do so in writing.

8. Updates to This Page

We may update this page from time to time to reflect changes in our practices, our understanding of applicable law, or our cooperation with payment providers and regulators. We will post the revised content on this page and update the “Last updated” date where applicable. This page is for informational purposes and does not create contractual or regulatory obligations beyond what is set out in our agreements or required by law.
